The Investment Operations Analyst position supports the Investment Team in managing JM Family’s investment portfolios (Corporate, Pension, 401k, and Insurance). The position will work with internal and external associates to ensure seamless execution of investment activities and reporting. Primary responsibilities include performance reporting, monitoring investment compliance, assisting with annual audit, cash management, and reconciliations.
Essential duties
  • Responsible for day-to-day investment operational activities including cash reconciliations with custodians, processing investment-related transactions and wires (capital calls and distributions) and conducting trade reconciliations and investment valuations for all existing investments
  • Preparation of monthly reporting packages to deliver performance, market value, and cash impacts across the investment portfolios and tracking of other quantitative and qualitative data
  • Perform reconciliation of transactions, valuations and investment returns with investment managers, custodian bank, against portfolio management and accounting systems
  • Monitor cash accounts, track capital calls and valuation statements, to align with the funding and management of manager accounts
  • Manage onboarding of new investments to ensure they are accurately included in all internal systems and relevant terms are tracked
  • Coordinate execution of new investments’ legal agreements and complete subscription agreements and other documents as needed
  • Maintain a current legal documents pipeline for new and existing investments
  • Coordinate, track and obtain execution of all approvals, contracts and other documents to effect the implementation of a new manager, transfers and capital calls
  • Act as the liaison between Accounting, outside Auditors, and the Investment staff during the annual audit. Obtain the list of deliverables to Accounting and the Auditors and work with Investments to ensure they are provided in a timely manner
  • Maintain and update the document management system in a manner that makes it easy for team members and other interested parties to find files and documents
  • Maintain the operations/compliance manual and update it as necessary
  • Liaise, Coordinate, Communicate, and Assist the Internal and External Groups including Tax, Legal, Finance/Accounting, Consultants, Custodian Banks, Money Managers, and Auditors
  • Identify and drive process improvements in areas of performance reporting, portfolio accounting, corporate close information, and interactions with custodian
EXPERIENCE AND QUALIFICATIONS
  • 3+ years of related investment operations management / analytical experience
  • Bachelor’s Degree and desire to pursue CFA / MBA or other investment accreditations
  • Strong attention to process management and attention to detail
  • Excellent problem solving skills, an ability to “Get things done” and stick to deadlines
  • Strong sense of financial stewardship and fiduciary responsibility
  • Excellent verbal and written communication skills
  • Exceptional knowledge of MS Office Products including but not limited to Word, Excel, PowerPoint, PowerBI, and ability to integrate into specialized investment software
  • Experience managing custodian, data rooms, and investor portals
