ROLE OVERVIEW:

The Executive Assistant is a strategic and operational leader responsible for curating and elevating every touchpoint across BVVC’s internal and external ecosystem. This person will drive a best-in-class experience strategy that amplifies the Managing Partner’s effectiveness, enhances our investor and founder relationships, and activates our brand through unforgettable events and engagements. This role is operationally central and brand-defining. The Executive Assistant will steward the BVVC network with precision, energy, and patriotic conviction.

KEY RESPONSIBILITIES:

Executive Office Operations

  • Calendar & Scheduling – Oversee all aspects of the Managing Partners’ schedule, including travel, LP and CEO relationships, and critical high-profile meetings and events.
  • Proactive Support (Mind Reader Wanted) – Anticipate the Managing Partner’s needs (upcoming travel, time buffers, dinner reservations, lunches, etc.), ensuring seamless day-to-day operations. Always remain three weeks ahead of the Managing Partners' schedule.
  • Authority to Move Out– Able to make informed judgments on behalf of the Managing Partner when urgent decisions need to be made.
  • Meeting Coordination – Generate notes, agendas, and calendar invites for all meetings; manage follow-up actions on behalf of the Managing Partner.
  • Board Meeting Logistics – Coordinate with CEOs/Founders of portfolio companies for board meetings; host and handle all Managing Partner associated logistics and material preparation.
  • Inbox Management – The Managing Partner keeps a zero Inbox at all times; speedy response times matter greatly, and supporting this fast-paced communication style is a critical task
  • CRM Input & Maintenance – Track detailed notes and summaries from Managing Partner’s calls, meetings, and emails into CRM
  • Expense Reconciliation – Partner with BVVC’s Principal to complete and reconcile monthly expenses for the Managing Partner.
  • Visitor Relations – Greet founders, CEOs, LPs, investors, fund managers, and executives on behalf of the Managing Partner, ensuring a professional, warm, and welcoming environment.

Community Leadership and Network Growth

  • Annual Events Calendar – Lead the planning, promotion, and execution of BVVC’s 20+ core events annually, in partnership with the Managing Partner.
  • Strategic Planning – Support and organize Managing Partners' long-term vision execution of events calendar and annual execution strategy.
  • End-to-End Execution – Coordinate event operations, logistics, and communications (pre-event, on-site, post-event) in line with BVVC’s Event Standard Operating Procedures.
  • Attendee Curation – Carefully manage attendee lists, invitations, and RSVPs, ensuring alignment with BVVC’s high-caliber network across our C3 categories: Capital, Customers, and Community.
  • Vendor Coordination – Collaborate with venues, suppliers, and service providers to deliver seamless event experiences.
  • Marketing Collateral – Create social posts, attendee bio books, name badges, sponsor signage, and other relevant materials for each event.
  • Budget & Sponsorship – Adhere to allocated budgets and coordinate with the Managing Director to secure spot sponsorships when appropriate.
  • Post-Event Engagement – Develop a robust post-event engagement plan, send recaps to attendees, collect feedback, track engagement data, and coordinate next steps with the Managing Partner.

Marketing Communications and Relationship Data

  • CRM & Database Management – Record, track, and maintain accurate event attendee data and membership lists for ongoing marketing and communication touchpoints.
  • Mailing List Maintenance – Keep all mailing lists current to ensure accurate and effective outreach.
  • Website & Event Page Updates – Regularly maintain BVVC’s website and event pages.
  • Content Creation & Distribution – Serve as a content lead to promote events, post recaps, and distribute collateral across marketing channels.
  • Newsletter Contributions – Collaborate with the team to create member newsletters, providing relevant event highlights and updates.

MINIMUM QUALIFICATIONS:

  • Experience & Education – 2–4+ years in executive operations, event strategy, or high-trust support roles, ideally in venture capital, tech, or defense sectors. Proven experience navigating complex stakeholder environments and owning high-visibility, fast-moving priorities is essential.
  • Technical & AI Proficiency – Highly skilled in MS Office Suite, G-Suite, HubSpot (or other CRMs), and AI tools such as OpenAI and Grok to streamline strategic workflows, content generation, marketing, and fund communications.
  • Executive Presence & Operational Judgment – Exceptional verbal and written communication skills, high emotional intelligence, and interpersonal savvy. Demonstrates sound judgment, confidentiality, and discernment in high-stakes environments, while maintaining precision and focus across competing priorities in a fast-moving, detail-driven setting.
  • Mission Alignment – Deep resonance with the values, mission, and patriotic purpose of BVVC, with interest in venture capital communities and the national security innovation ecosystem.
  • Location & Availability – Based out of our Hinsdale office 4–5 days/week; flexible remote work possible after trust and a solid relationship foundation are established. (24-minute reverse commute from Chicago to the Hinsdale train stop)
